This leading rail technology services provider needed to migrate its dashboards from Tableau to Amazon QuickSight within three months to cut server hosting costs and access the benefits of a scalable, cloud-native BI platform.  

 

To achieve this, the rail technology services provider partnered with Wavicle to leverage its proprietary EZConvertBI tool to streamline migration from Tableau to QuickSight and successfully deploy the new BI solution. EZConvertBI accurately identified in-scope dashboards and eliminated redundancies, delivering a seamless system transition and maintaining the company’s business intelligence capabilities. Using an automated migration tool also reduced manual efforts, including custom SQL tasks, ensuring alignment with tight budget constraints and the company’s rapid timeline.

 

Amazon QuickSight migration with a 90-day deadline 

In a strategic move to improve its analytics infrastructure and reduce BI costs, the rail technology services provider wanted to transition from Tableau to Amazon QuickSight. With their Tableau license expiring in three months, they needed to evaluate and migrate 690 dashboards to Amazon QuickSight within that timeframe while sticking to a tight budget. 

 

A migration to QuickSight offered a variety of benefits beyond cost savings. The rail technology services provider wanted to be on a 100% cloud-native BI platform that would be more scalable. Historically, they struggled with Tableau performance issues and the burdens of managing the necessary server infrastructure to run Tableau. Transitioning to a serverless solution like QuickSight promised higher performance with similar functionality. 

 

To execute the migration, AWS recommended Wavicle to the rail technology services provider, recognizing Wavicle’s expertise in QuickSight migrations. Wavicle proposed its state-of-the-art EZConvertBI tool, which identifies relevant dashboards, eliminates redundancies, and preserves functionality while providing a seamless, expedited migration.

 

EZConvertBI  enables an effortless migration from Tableau to Amazon QuickSight 

EZConvertBI was designed to make transitions between BI platforms efficient and secure. The tool ensures a smooth and speedy transfer of all selected data visualizations, dashboards, and reports between platforms. 

 

Wavicle’s experts utilized the EZConvertBI tool to first analyze the rail technology services provider’s 690 Tableau dashboards to determine the duplication score for each dashboard. This score was derived from criteria such as the published date, activity timestamps, complexity, number of charts, and datasets.  

 

This produced an analyzer report and a Tableau usage report that were meticulously reviewed by Wavicle and the rail technology services provider to eliminate redundant and unused dashboards, reducing the scope for migration to 138 unique business dashboards. As a result, cost estimates were cut by 70% and the project timeline was shortened by 60%. 

 

Next, the tool automated the conversion of data sources, including custom SQL and Tableau Hyper Extracts, while supporting charts and calculations. This cut down on migration time and developer effort, reducing the risk of manual errors and improving user confidence in the data’s accuracy. 

 

For unsupported Tableau chart types, Wavicle developed alternative solutions that were rigorously tested and approved by business users. This ensured consistent functionality and a seamless transition to the new platform, maintaining the integrity and usability of all dashboards.  

 

Additionally, Wavicle performed a three-stage dashboard validation process involving 15 test use cases such as accounts payable, train delays, and quality score KPIs to ensure that the migrated dashboards accurately reflected the data, functionality, and formatting of the original Tableau dashboards.  

 

By performing these validations, Wavicle maintained the integrity and reliability of the reports, ensuring that users could confidently rely on the data for decision-making and operational purposes. This also helped identify and rectify any discrepancies that arose during the migration process, ensuring a smooth transition and accurate representation of information in the new Amazon QuickSight environment.

Using Wavicle’s EZConvertBI tool to migrate from Tableau to Amazon QuickSight, the rail technology services provider successfully migrated 138 dashboards within the planned timeline and approved budget.
